How to use the template

  1. Fill in the yellow cells: your details and VAT number, the client's details and VAT number, the invoice number and dates.
  2. Pick the VAT treatment. Domestic VAT uses the rate you enter. Check your country's rate in the EU VAT rates table. Reverse charge (EU B2B) sets VAT to 0 and adds the mandatory mention.
  3. Add your service lines (quantity × unit price). The totals update automatically.
  4. Export to PDF and send. For the next invoice, duplicate the sheet and increase the number.

What an EU invoice must contain

Article 226 of the VAT Directive lists the details a VAT invoice must show. They include the issue date, a sequential number, both parties' names and addresses, your VAT number, the customer's VAT number for reverse-charge supplies, a description of the services, the date of supply, the net amount, the VAT rate and amount, and the "Reverse charge" mention where the customer accounts for the VAT. The full list is in the Article 226 checklist. Member states can add their own requirements, so check your tax authority's rules.

For services to a business client in another EU country, see how to invoice a client in another EU country and the reverse charge guide.

FAQ

Is this invoice template really free?
Yes. Download the .xlsx file directly, with no email or sign-up. It has no macros and works in Excel, LibreOffice and Google Sheets (File → Import or open it from Google Drive).
Does it work for reverse charge invoices to EU clients?
Yes. Choose "Reverse charge (EU B2B)" in the VAT treatment cell. VAT is set to 0 and the invoice prints the mention "Reverse charge" with a reference to Article 196 of the VAT Directive. Add the client's VAT number, and check it in VIES first. For other languages, use the reverse charge wording generator.
Can I use it if I am not VAT registered?
Choose "Exempt / not VAT registered" and replace the placeholder with the exemption wording your country requires (for example the national SME-scheme reference). See the SME scheme guide.
How should I number my invoices?
Invoice numbers must be unique and sequential (Article 226(2)). A common format is a year prefix plus a counter, such as INV-2026-001. The invoice number generator helps you design a scheme.
What is the difference between this and the Freelancer Money OS?
This template creates one invoice at a time, and you copy the sheet for each new one. The paid Freelancer Money OS keeps an invoice log, client list, expenses, a VAT tracker and tax set-aside in one workbook, and fills the invoice from your client list.
